Position Summary

The Senior Associate, HRIS and Payroll will assist with the delivery of payroll for the National Audubon Society, for a multi-state and international workforce of 700+ full-time, part-time, and seasonal employees. The Senior Associate will work under supervision of the Senior Manager, HRIS and will perform a variety of functions with People & Culture, Legal, and Finance. The Senior Associate will be responsible for ensuring accuracy of time entry and resolution of errors. This position will partner with internal and external teams and be the first point of contact with our payroll managed services provider. This position also provides support of the Human Resources Information System and relative interfaces that includes but is not limited to researching and resolving matters while monitoring data to ensure compliance, quality, and accuracy.


Preference for hybrid candidates in Washington, DC. Hybrid candidates in New York, NY and remote candidates will also be considered.


Compensation:


Salary range based on geo-differentials:


  • $56,000-$66,000/year = National
  • $65,000-$75,000/year = Alaska, CA (not San Francisco), Connecticut, D.C., Chicago, Oyster Bay, NY
  • $74,000-$84,000/year = NYC (not Oyster Bay), San Francisco, Seattle

  • Essential Functions
  • In partnership with external payroll provider, process end-to-end payroll accurately, timely and in accordance with federal, state, and local laws for a bi-weekly pay frequency to include auditing and balancing comparison of pay period to pay period.
  • Review information submitted on time sheets; identify missing timesheets and notify employees and supervisors to submit/approve time when needed; communicate with employees and supervisors to resolve any discrepancies or errors on timesheets, complete audit reporting and resolve issues.
  • Assist with all quarter and year-end activities to ensure accuracy of Form W-2s, and all tax filings are as expected.
  • Work with service providers across payroll and systems, ensuring adherence to internal policies and procedures, and external regulations, while focusing on strong customer service.
  • Assist in processing Leave of Absence (LOA) payment and reporting as needed. Work with external payroll provider to process termination pay as legally required.
  • Serve as the internal “go to” person for payroll requests and payroll and compliance reports in partnership with the Senior Manager, HRIS.
  • Analyze, design, and build new custom reports.
  • Serve as a Subject Matter Expert for payroll questions regarding calculations, time and attendance queries, taxation questions, imputed income, relocation, and elected and mandatory deductions.
  • Uphold strong internal controls and procedures as dictated by Federal compliance mandates.
  • Support annual merit increase and bonus processes.
  • Document payroll processes and create user guidelines in partnership with the Senior Manager, HRIS.
  • Support state tax and payroll reporting requirements such as multiple worksite and new hire reporting.
  • Act as first point of contact for garnishment orders.
  • Manage compliance for state minimum wage changes and communicate updates to appropriate People & Culture team members.
  • Participate in compensation projects by researching, preparing, and responding to salary surveys.
  • Attend regular ongoing meetings with external payroll provider.
  • Liaise with staff in Finance and the Office of General Counsel as needed.
  • Other job-related duties as assigned.

  • Qualifications and Experience
  • Bachelor’s Degree, preferably in Accounting, Human Resources, or related field, and at least 3 years progressively responsible payroll experience in multi-state organizations. An equivalent combination of education and work experience will also be considered.
  • Minimum 1-year hands on experience with Workday Payroll and Reporting required.
  • Strong computer skills across the MS Office Suite, with an emphasis on Excel expertise (proficiency with PivotTables and VLOOKUP required).
  • Exceptional attention to detail, particularly with regards to numerical data.
  • Excellent interpersonal verbal and written communication skills in communication with external and internal stakeholders at all levels, including the ability to explain technical language to a non-technical audience.
  • Strong customer service for our internal partners and employees.
  • Have strong appreciation for driving data integrity, process improvement and high-quality service leveraging information and technology.
  • Independent problem solver, analytical thinker; working with limited guidance.
  • Ability to identify root causes of issues and develop and implement solutions to resolve issues appropriately.
  • Experience in a unionized environment preferred.
  • Ability to maintain confidentiality regarding sensitive employee and proprietary information.

  • Familiarity with international compensation a plus.
  • Bilingual in English and Spanish a plus.
