The University of Minnesota Morris Office of the Registrar seeks an Academic Records Specialist. This position is 12 month, 40 hours week/100% time, Monday - Friday, 8:00 am - 4:30 pm, Civil Service position with the Student Services Professional 2 classification - 8463P2. This position supports the mission of the Offices of the Registrar on the UMN Morris and UMN Crookston campuses with a 50% allocation to each campus. Reporting to the Director of the Office of the Registrar on each campus, the position's responsibilities support the integrity of the student record. The work is performed under established guidelines and directives.

The qualifications are as follows:

Essential knowledge, skills and abilities
  • BA/BS with at least 2 years of experience or a combination of related education and work experience to equal six years
  • Demonstrated excellence in attention to detail, accuracy, organization, and time management
  • Demonstrated ability to work effectively with persons from culturally diverse backgrounds and educational needs
  • Technological skills with programs such as Google Suite and Microsoft Office and the ability to learn new systems and software programs
  • Demonstrated success in working with confidential data
  • Demonstrated success in using interpersonal and problem-solving skills
  • Demonstrated exceptional customer service skills and a professional manner

Preferred knowledge, skills and abilities
  • Education and relevant work experience to total at least six years.
  • A year or more of related experience working in a higher education setting
  • Experience with university software programs: PeopleSoft system, APLUS, UM Reports, APAS, Drupal, SalesForce, DARs/UAchieve, etc.
  • Ability to identify opportunities for improvement and implement systems changes
  • Demonstrated ability to work independently and collaboratively
  • Ability to adapt approaches and prioritize differing student, faculty, and staff requests and needs

About the Job

Job duties
Implement assigned PeopleSoft business processes: manage Multi-I application and enrollment processing, including enforcing relevant policy; assist with special registrations; repeat course checking/bracketing; service indicators and holds; one-time late withdrawals; reduced course load procedure for international students and athletes; academic petition results; special exams; registration assistance; language course proficiency exemptions, student groups including prereqs completed with transfer courses (30 percent)

Provide assistance to the Degree Specialist: admissions revocation; withdraw/cancel/discontinue; readmit processing; encoding area of concentration majors and minors; degree-related transcript milestones; student groups; delayed graduates; senior meetings; discipline approvals; graduation term manual changes, commencement eligibility and tracking for program, grad fest (25 percent)

Manage OTR transcript and verification services: Respond to alumni and current student requests for transcripts/verifications and process. Provide transcripts for Education licensure, third party requests (after investigating FERPA compliance), CIS, etc. Credit card compliance and daily reconciliation. National Student Clearinghouse verifications and error reports (20 percent)

Provide assistance to Transfer Evaluation: transfer course entry; Minnesota Transfer Curriculum transcript milestones (15 percent)
Manage Student Records Imaging, implement the University of Minnesota Records Retention Procedure, and conduct student record maintenance (deceased, name changes, gender changes, etc.) (10 percent)

Collaborate with other campus units and offices in all of the above to deliver high quality, student-centered services.
