Pay Range

$58,700.00-$80,700.00 Annual

This is the base salary pay range that an applicant can expect to make upon hire. Pay within this range will vary based upon relevant experience, skills, and education among other factors. In addition, this position is eligible for an incentive bonus.

Position Overview:

Under minimal direction, the Administrative Associates' role is responsible for maintaining a close and responsive relationship to the day-to-day work of the Commercial Services & SIOP team through timely and efficient handling of clerical and administrative matters while ensuring the confidentiality of all pertinent information.

Your Day-to-Day:

  • Operates personal computer to perform the full scope of software applications.
  • Enters and manipulates data on spreadsheets, data base or file management programs as well as documents containing complex financial or statistical data or scientific, technical or legal terminology.
  • Uses specialized or technical vocabulary and procedures as required.
  • Operates various types of office equipment.
  • Reads mail, responds, or routes accordingly, highlights action on important items, and attaches relevant files or information for manager's review on more complex correspondence.
  • Follows up on items delegated by manager to others.
  • Makes complex domestic and/or international travel arrangements.
  • Closely controls calendar, with authority to determine who may be scheduled.
  • Coordinates group meetings.
  • Coordinates with internal and external executive-level staff to accomplish complex activities including conducting research and compiling information for reports, departmental projects or meetings, where information must be gathered and complied from a variety of sources.
  • Coordinate catering services and other logistics for meetings/events as needed.
  • Refill kitchen areas with coffee and snacks.
  • Collect and distribute mail.
  • Receive and distribute orders from the shipping dock.
  • Submit and reconcile expense reports for purchases.
  • Order office supplies (paper/pens/notebooks/medicine etc.)
  • Coordinate/submit weekly IOI’s
    • Check for formatting and spelling errors.
  • Generate weekly reports.
    • Pricing reports
    • Turnover/Headcount reports
  • Coordinates logistics for meetings, including room set up
    • Coordinate with the front desk and facilities on the layout of the room.
  • Assist with employee onboarding.
    • Order equipment.
    • Setup of workspace.
    • Prepare and distribute onboarding welcome gifts.
    • Coordinate with supervisors on timing and onboarding needs.
  • Assist with employee offboarding.
    • Makes Arrangements to return equipment.
    • Return badge and parking permit to the front desk.
  • Maintain floor seating chart.
    • Relay updates to the front desk staff
  • Maintain internal organization charts.
  • May be required to perform other related duties as assigned.

What You Bring to the Team:

  • High school/technical school diploma with some business, secretarial or college training and a minimum of 5 years of administrative experience
  • Proven proficiency in Microsoft Office Word, Excel, PowerPoint, Outlook
  • Excellent knowledge and ability to utilize other computer software packages and systems
  • Demonstrated knowledge of office administration and business practices
  • Excellent interpersonal, verbal and written communication skills
  • Excellent organizational, administrative and clerical skills
  • Ability to work both independently and in a team environment
  • Ability to interface at all levels of the organization, both internally and externally
  • Proficient in attending to detail
  • May be required to lift, carry, push or pull up to and including 25 pounds
  • Minimal travel required (0 - 10 days per year)
  • Work environment is typical of an office setting
