POSITION SUMMARY

The Transform Schools Coordinator will be hired by LAEP and supervised by the Director of Community Schools. The TS Program Coordinator will work closely with the TS team, schools, and partners to ensure effective coordination and administration of services in the day-to-day operations. The PC will be responsible for creating coherent systems and processes for budgets, expenditures, contracts, invoicing, data collection and evaluation, and tracking of deliverables.

ESSENTIAL DUTIES & RESPONSIBILITIES

The essential functions include, but are not limited to the following:

Program Coordination

  • Support Transform Schools (TS) pass-thru grant relationships
  • Process or draft correspondence, reports, spreadsheets, and other documentation
  • Provide support for the hiring of new staff
  • Develop forms and flyers as needed for Transform Schools programs
  • Provide logistical support for Transform Schools' meetings, programs, professional development and events
  • Maintain equipment and requisition office supplies as needed for all Transform Schools programs
  • Respond to general Transform Schools inquiries and delegate director level inquiries
  • Provide Department-wide meeting support
  • Develop strong collaborative relationships with partners, government, community-based organizations, and partner school staff

Financial Coordination

  • Support management in maintaining and the development of internal control policies, guidelines, and procedures for activities such as budget administration, data collection, and file storage systems
  • Assist with and monitor budget and finance tracking
  • Support TS contractors including contract management and hour tracking
  • Maintain accurate and current financial documents, including tracking budgets
  • Coordinate logistics and payment of retreats for partner schools
  • Support the consulting work including logistics, contract management, and invoicing

Development and Evaluation Coordination

  • Assist management in the develop of systems for data & information tracking, gathering, and reporting
  • Collect, organize, and disseminate partner school qualitative and quantitative data
  • Support program directors with compliance and maintenance of grants and contracts
  • Assist program directors with grant proposals

General Office Responsibilities

  • Participate in LAEP activities that support the culture and successes of LAEP.
  • Participate in project team meetings and other meetings with project staff and key partners to collaborate and review progress.
  • Facilitate communication including, e.g., a department directory and a monthly electronic newsletter.

SUPERVISORY RESPONSIBILITY

No supervisory responsibility for employees or worker (Individual Responsibility)


Requirements:

QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • 3 years of experience in clerical/administrative work
  • 2 years working in a school/educational setting
  • Excellent organizational skills and superb attention to detail
  • Good oral and written communication skills
  • Computer skills required. Proficiency in Microsoft Office and Excel and Google Suite.
  • Background working with schools, parents, or community agencies preferred
  • BA required, preferably in a related field such as education or social work
  • Excellent communication and organizational skills; strong written and interpersonal skills
  • Excellent project management skills, ability to balance multiple priorities with proven ability to anticipate challenges, solve problems and maintain a calm demeanor in high-pressure situations
  • Strong analytical, time management, organizational and interpersonal skills
  • Knowledge and/or experience with change management as it relates to positive organizational change.
  • Experience managing budgets
  • Growth and equity focused mindset
  • Experience working with students of diverse abilities & backgrounds
  • Demonstrated ability to work effectively as a member of a team
  • Builds excellent rapport and relationships with colleagues and clients

LICENSING AND CERTIFICATIONS (IF APPLICABLE)

  • Daily driving could be required, must provide own vehicle, valid Driver's License and proof of full vehicle insurance coverage;
  • Negative tuberculosis screen (required);
  • Must pass criminal background check.

DELEGATION OF AUTHORITY & WORK COMPLEXITY

Tasks are highly interrelated and simple. Work consists of standard procedures and tasks. May include a high percentage of manual duties. No responsibility for budget, revenues, and/or expenditure authority.
