Provide administrative support to LTS including events primarily for Technology & CITL groups. Coordinate building maintenance and space usage, ordering supplies and equipment for the group. Coordinates travel and scheduling arrangements and assists with staff/student hiring in LTS. This position is a Grade: 7-37.5 with an approximate salary range of $36,090-$43,330 and is subject to change based on experience, skills and qualifications

1. Provide Administrative support and assistance to the Director of CITL and CTO. (45%)

•Assists in making travel and meeting arrangements.
•Coordinate Distance Education, CITL & Client Services events, such as meetings, conferences or corporate functions. This may involve managing logistics, coordinating guest speakers or presenters and overseeing event setup and execution.
•Purchase items in support of CITL & Client Services, such as computers, software, office supplies, etc.
•Submits work orders to facilities services for maintenance.
•Responsible for interacting with various vendors on invoices, shipments and recycled equipment.
•Participate in LTS Software Committee & serve as administrative support.

2. Finance Operations, Collaboration, & Communication. (30%)

•Assist business manager in managing relationships with vendors, suppliers and contractors. This may include obtaining quotes, negotiating contracts and ensuring that goods or services are delivered on time and within budget.
•Assist in tracking and maintaining budgets for different areas in LTS such as CITL, DE, TRAC program, Client Service, etc.
•Serve as a point of contact for internal and external communication, including answering inquiries, responding to emails and relaying messages between different departments or stakeholders.
•Assist in planning, organizing and coordinating various projects within the organization. This may involve creating project timelines, tracking progress and ensuring that deadlines are met.

3.LTS Administration Backup and Support. (25%)

•Coordinates internally within ASG team to provide seamless support across LTS stem.
•May assist and provide backup support for other members of the ASG team as needed.
•Provides administrative support for hiring committees.
•Processes purchase requisitions and approves requisitions under $100
•Supports Director of Administration, Manager; Business Operations and Business Manager on an ad-hoc basis.

Qualifications

•Associates, Vocational or Technical Degree or equivalent combination of education and experience; Bachelor's Degree in Business preferred

•One to three years of related work experience

•Experience with administrative responsibilities including travel/meeting arrangements, coordinating events and purchasing

•Excellent communication and interpersonal skills

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
